One of their first tasks is to identify and study the information relevant to the project. They may already have some documents: letters of assignment, specifications, various correspondence, emails, and must search for others. These may include
similar projects, feedback from personal experiences, and client documents. In some cases, particularly for small projects, the documentation is limited to conversations with the client. The project manager must then make the effort to formalize these conversations in the form of a report. These documents must, of course, be validated with the client to ensure a solid
foundation. All these documents or pieces of information gathered by the project manager will be summarized as early as possible. This will allow for a thorough understanding of the data and its sharing with project stakeholders. This summary will be written in a document called a clarification note, also known as a scoping note, project launch note, or
project charter. This clarification note will serve as a contract between the project manager and the client; it is the birth certificate of the project and will be signed. and dated in case of evolution a version to be added the project charter is intended to provide an understanding of the project why it exists and that it led to its
